Batch record Bills in Google Drive as draft to Xero

Knoon template bundle for processing unpaid bill files from a Google Drive folder in batches and recording each bill as a draft accounts payable bill in Xero.

The workflow extracts bill fields with OCR, finds or creates the Xero contact, selects the expense account and tax rate, creates the draft bill, attaches the original bill file, then moves processed files into Done or Need attention folders.

Requirements

• Knoon workspace with permission to import templates.
• Google Drive access to the bill source folder.
• Xero access with permission to create contacts, create bills, upload attachments, and read accounts and tax rates.
• A Google Drive folder structure for incoming bills plus Done and Need attention destinations.

Import Instructions

1. Open Knoon and choose the template or bundle import option.
2. Upload export.json from this folder.
3. Review the imported workflow, agents, and tools.
4. Connect or re-authorize the Google Drive and Xero accounts.
5. Configure the Google Drive source, Done, and Need attention folders.
6. Confirm the target Xero expense account and tax rate choices.
7. Run a small test batch before using the workflow on a full bill folder.
